Healthcare Business QuickBooks CleanupA write off is a choice, not a vanished number
When the allowed amount is under the fee, the gap can disappear into a smaller charge. Then nobody chose it. The number just left.

The clinic billed a fee. The plan allowed less. The patient may owe a share, or the contract may say the rest is gone. Those are three different facts. A file that records only the cash records none of them. A file that reduces the original charge to the allowed amount pretends the fee was never the fee.
We keep the fee, and we put the difference on its own line when you decide to release it. Until that decision, the difference stays visible as something you might still collect or might still dispute. A contractual adjustment and a smaller charge are not the same event, even when the bank ends up at the same figure.
You should be able to point at a week and say which gaps were chosen. If you cannot, the write-offs are accidental, and the profit of the clinic is whatever the deposits happened to be.
An adjustment nobody sees cannot be compared across plans. One plan can be cutting the fee in half while another pays close to it, and the bank will not tell you which. The Tax CFO read, after the lines are visible, is what the clinic earns on a visit and what the write-offs are costing. Counting the deposit only tells you what already happened.
We do not invent a savings figure by comparing two ways of burying the same gap. The gap is the gap. Seeing it is the point. Deciding the next quarter from it is a separate conversation, and it starts only after the month ties.
Equipment still on the books is a cousin of this problem. A machine can keep a balance long after the visits it supported have changed. For a tax year that begins in 2026, the Section 179 limit is 2,560,000 dollars and the phaseout begins past 4,090,000 dollars of property placed in service. A sport utility vehicle under that section stops at 32,000 dollars. Those are federal limits. They do not pick the write-off on a plan payment. They do tell you the return will ask what the clinic still carries.
Send the plan detail that shows the allowed amount, the fee that was billed, and the bank. We do not need the exam note. If a gap was already posted as a smaller charge, say so. Rebuilding the fee and the adjustment is slower than catching the gap while the detail is still in the export.
The first conversation names which plan is cutting the deepest. The price of the cleanup is in a scope both sides sign. This page does not name a price.
A good result is dull. The write-offs are lines. The visits those lines belong to are still identifiable. The bank matches. Nobody has to remember a number that vanished on a Tuesday.
Say whether write-offs were chosen or simply disappeared into a smaller charge.
You will be talking to the Steven Palmieri practice.
